Use cases / Coordinate property viewings

Viewings without the scheduling chaos

The situation

Six viewings on Thursday, coordinated through twelve phone calls and twenty emails. Then you're standing outside the apartment at 4:30 p.m. and the prospect simply doesn't show - no call, no cancellation. Half an hour gone, the owner is wondering what you actually do all day, and your next appointment is already breathing down your neck.

How SmartChat solves it

SmartChat takes over the appointment communication: a confirmation once the viewing is booked, a reminder the day before - both via WhatsApp with a 98% open rate. Your appointments live in your directly connected Google Calendar, and the reminders go out automatically. Anyone who needs to cancel just tells you in the chat - so you fill the slot with the next prospect instead of showing up for nothing.

Set up in 3 steps

  1. 1

Add the appointment: You create the viewing in your Google Calendar just like always - SmartChat is directly connected to it.

  2. 2

Remind automatically: Prospects get the confirmation right away and the reminder the day before - without you having to think about it.

  3. 3

Catch cancellations: Anyone who can't make it cancels in the chat - you see it in time and pass the slot on to the next prospect.

FAQs

How does SmartChat connect to my calendar?

SmartChat connects directly to your Google Calendar: Appointments you create there trigger the WhatsApp reminder - you only have to manage one calendar.

Do reminders really prevent no-shows?

A reminder the day before with a 98% open rate gets seen - and people who can't make it are far more likely to cancel when a quick chat reply is all it takes. That cancellation is exactly what saves your slot.

Can I offer the same slot to several prospects?

Yes - send your proposed times to several suitable prospects and give the slot to whoever confirms first. You offer the others alternatives right there in the same chat.
