Tuesday, just before nine. You unlock the salon and play back the answerphone: two cancellations for this afternoon. At half past ten Mrs Chapman does not turn up for her appointment, no message, nothing. Three gaps in a day that was supposed to be fully booked. The rent still goes out, and the team is still standing there.
Meanwhile the phone rings non-stop between two colour appointments. Nobody halfway through a foil job can pick it up. And anyone who cannot get through may well try the salon two streets away. So you lose at both ends: appointments fall through, and new ones never come in.
The fix is already sitting in your clients’ pockets. Almost every one of them uses WhatsApp, and that is exactly where you can confirm appointments, send reminders and fill gaps, without anyone having to put the dryer down.
The phone is the bottleneck
A salon runs on hands-on work. Every minute on the phone is a minute away from the chair. Even so, plenty of salons still handle the whole diary by call: booking, moving, cancelling, checking, all down one line that is permanently engaged.
WhatsApp turns that around. Clients write when it suits them, even in the evening after work. You or your team reply when there is a moment. Nothing gets lost, and nothing ends up on a scrap of paper next to the till. And because messages on WhatsApp reach a 98% open rate, what you send actually gets read. Appointment reminders against no-shows
The most painful loss in a salon day is the appointment that simply evaporates. Usually there is no bad intent behind it. The slot was booked four weeks ago and it slipped someone’s mind.
A short appointment reminder the day before solves exactly that: “Hi Chloe, your cut and blow-dry with Grace is tomorrow at 2:30 p.m. Still good for you? If you need to move it, just reply to this message.”
The last sentence is the important one. Someone who can cancel easily will cancel, instead of just not showing up. A cancellation the day before is worth a lot, because the gap can still be filled. An empty chair at 2:30 p.m. is worth nothing.
A missed appointment costs you twice: the treatment you did not do, and the hours you pay for anyway.
Filling gaps at short notice
And when a gap does open up? That is where WhatsApp becomes your best tool. Instead of hoping someone wanders in off the street, you send a quick message to your list:
“Just had a cancellation: one slot free today at 3 p.m. for a cut or a colour refresh. First to reply gets it!”
A message like that takes seconds to write and reaches everyone who has given you their consent. The small race for the slot usually gets you a reply before the next client is even through the door. You will find more ideas in our use case on filling last-minute slots.
One tip from experience: use these messages sparingly. If three “last chances” go out every week, nobody takes the urgency seriously any more. They work best as the occasional surprise.
From first visit to regular
Next month’s full diary starts today at the basin. Every happy first visit is a chance to win a regular, as long as you stay in touch. For that you need consent first, and the easiest place to get it is in the salon itself.
A small sign with a QR code at the mirror or by the till is enough: “Want appointment reminders and care tips by WhatsApp? Just scan.” Someone who has just had a great cut and is in a good mood rarely says no. The sign-up is GDPR-compliant and uses double opt-in, so you are legally covered.
After that you keep the thread going: a friendly nudge six weeks after the cut to say it is about time for the next appointment. In between, send a care tip for coloured hair or a photo of a restyle that came out well. That way you stay front of mind without being pushy, and the next booking almost makes itself.
The short version: less phone, more scissors
A full diary in a salon is not luck. It is the result of three habits: reminders the day before, quick messages when a gap opens, and staying in touch with every client who has been in once. WhatsApp makes all three so easy that they run alongside the work you are actually good at.
